1. What is ‘blended’ Elearning Training?
   
Blended Elearning Training means that you can offer the option to train all of your staff using one complete training system. This means that you can provide the training to both users who have direct access to a PC so they can self-learn and also users who do not have access to a PC such as your warehouse, factory, construction, field based and sales staff. For these users, you simply organise a group training session and, by using the Safety Learning software, provide each user with a ‘handset’ so that they can participate in the training by interacting with the trainer by answering questions.  
   
   
2. Why should I choose Safety Learning over one of your competitors?
   

The Safety Learning system is a unique, cost effective training solution that offers a wide range and constantly growing number of training modules. We are the only company to offer the option to train staff with and without access to a PC by using interactive handsets. This gives you access to all of your training records in one place – there is no need for multiple systems.

At present, we have 15 training modules to choose from including Induction Safety, Fire Safety, DSE, Manual Handling, Stress, H&S for Managers and more. We are only constantly adding new modules to our software which is why we keep one step ahead of our competitors.

1. What functionality do I have as an administrator?
   

With the Safety Learning software you can create different levels of administration. For example, you may want to set up certain users to be ‘Super Administrators’. This will give them full access to all the functionality within the software. However, you may want to set up some users as ‘2 nd level administrators’, perhaps these are your Regional Managers and you may only want them to have the reporting options. The software is completely flexible so you can have full control over different users.

As an administrator you have access to the following functions:

 
   
  • Reporting – there are a number of pre-set reports set out in the software including; Completed Training, Incomplete Training, Unstarted Training, Self Test Reports, Risk Rating Reports and many more. You can also create your own customised reports and save the criteria you have selected so that you can the report again time after time.

  • Emailing – the software comes with a built-in emailing function. When producing reports, the users from the search results can be emailed directly from the software.

  • Module Preferences – there are many preferences that can be selected within the software. You can choose your own ‘self test pass rates’ for each module; you can change the number of days for the training cycle (i.e. number of days when users need to retrain upon completing their training); you can set permissions for different groups to have access to different modules and much more.

  • User Management – this function allows you to add, edit and delete both users and groups. This is ideal for controlling all of your users.

  • Import Data – if you have a high number of users, you may wish to use the ‘Import Data’ option that comes with the software. This will enable you to import your users into the software without having to add them manually. You simply create a ‘csv’ file using the format that is stated within the software and then import the users. If you require, Safety Media can provide you with a quotation for importing all of your users initially and then you can use the import function to update your database when new user start, leave or move location.

  • Audit Trail – every action that is undertaken by the administrator(s) is recorded in the Audit Trail. This function is very beneficial should you ever require checking back on changes that have been made to the software.

  • Self Test/Checklist Editor – you have the option to add, edit and delete the self test and checklist questions and answers by using the built in editors. See Customisation for more details.
 
   
   
2. What will my staff get out of the training?
   

The training modules are interesting, informative and exciting to use. Because the content is interactive, users will enjoy training on different health and safety aspects which relate to their own environment. At the end of the training there is a self test that will test the knowledge that they have learnt from the module content. By setting a pass rate, users will take the information in knowing that a failed pass rate could mean they have to retrain. At the end of the module, you can print a ‘Certificate of Excellence’ for them which will be personalised with their details on it.

With the Group Training option, you will find that users will really enjoy the training sessions and it will help create a ‘Team Working’ atmosphere as well as competition around the users.

As a company, you will be providing important health and safety information to your users and by building a good safety culture within your organisation users will approach their work tasks with a ‘safety first’ frame of mind. The staff may also be more responsive and productive knowing that the company is taking their wellbeing into mind by providing them with this training.

 
   
   
3. What training modules are available?
   

There are currently 15 Training Modules available and more modules are planned to be launched this year. All modules are available in both Standard format (a user self learning at their own workstation) or as a Group Training Module (using a presenter and interactive handsets). Delivery and Purchase Options  
   
   
1. What options do I have to buy Safety Learning?
   

Safety Media can offer the Safety Learning system in three different ways. You can purchase training units, a one-year licence or an open licence.

  • Training Units – the training units option works on a ‘pay-per-use’ basis. Every time a user trains on a health and safety module, one training unit is deducted from your account. The units are purchased upfront and there are bigger discounts for the more units you buy. For this option, the first years maintenance charge is included in the price and then a small maintenance charge is applicable every year thereafter.

  • One Year Licence – this option allows you to train your staff in the number of health and safety modules that you require. We will give you a number of user licences for the number of users you wish to train and these users can them train as many times as they require with the one year period. The annual maintenance charge is included in the price.

  • Open Ended Licence – this option will give you full unlimited use access to the modules for the number of user licences that you buy. This means that the users can train time an time again on the modules without any extra costs. This option is ideal if your company policy requires you to train your users every year. A one-off fee is paid upfront and then a small annual maintenance charge is paid every year thereafter.
 
   
   
2. How can I deliver the software to my users?
   

The Safety Learning software and database can either be installed on your Company Intranet or alternatively Safety Media can host the software for you on a secure dedicated web portal. Both options can be branded and customised (see customisation below).

With the Internet hosted option, the software is maintained and the data is backed up by the Safety Media IT department, thus freeing your own IT resources. There are no requirements for your own web server as this is provided by Safety Media.

With the Intranet version, the software will be maintained by your own IT department and Safety Media will provide technical support and free updates to you by email or CD Rom. A web server will be required to run the software – full specification details are available from Safety Media. Your IT department will have the responsibility to backup the database.

 
   
   
3. Which option of delivery should I choose?
   

There are benefits of having both options. You may have restrictions within your company policy that refrains you from allowing users to access the Internet. Therefore an Intranet version may be the most viable solution.

In regards to the connection and usage speeds to the software, this is highly dependant on the speed of your internet connection and the speed of your internal network. With the ever advancing broadband and leased lines the difference in speed between the two options is minimal.

Many of our customers will favour the Internet hosted option at the responsibility of maintaining and backing up the software is held with Safety Media. There is also no need for any installation of the software as this is carried out by Safety Media. Should there ever be a requirement for Safety Media to provide technical support, with the internet version we can immediately access the software and database from our own offices without the need of involving one of your IT team.

 
   
   
4. What will the software cost?

1. How can I trial the Safety Learning software?

2. Can I request a full presentation from a Safety Media representative?
   

Yes, Safety Media have Account Managers operating throughout the UK and we would be delighted to come and visit you and provide you with a full presentation of the software and no-obligation quotation for your requirements. Because we have a unique blended software solution where you can train both your office based staff and staff who do not have access to a PC using our Group training option, this is usually better presented to you on a face to face level. It is also advisable that at the presentations you can organise for as many of your colleagues who may be involved in the sales process to be at the meeting along with any of your IT colleagues so that we can answer any technical questions they may have at the same time.

 
   
 
     
     
 
Branding and Customisation  
   
   
1. Can the software be branded with my company design and logo?
   

Yes, the software can be fully branded with your corporate colouring and logo throughout the whole software.

2. Can I change the content of the training modules?
   

Yes, it is possible to have all the information and images changed to meet your company policy and requirements. Safety Media can provide you with a PowerPoint presentation of each slide for each module. You can then highlight the changes that you require and then return back to us. We will then provide you with a quotation for the customisation. Alternatively, if you meet with one of our Account Managers, you can run through the module pages and go through the changes you require with them.

 
   
   
3. Can I create new Training Modules?
   
Yes. Safety Media have a team of designers who can create new modules for you based on the content that you require. Pricing is very much dependant on a number of factors such as; length of module, whether content is provided or whether Safety Media will be writing the script; level of interactivity required; video clips required. Your Account Manager will be able to discuss these factors with you and then provide you a customisation price.  
   
   
4. Can I add Video clips to the modules?
   
Of course. If you have your own Video clips, we can integrate these into the software for you. If you require videos clips to be filmed, Safety Media have our own production team who will come on site and film the footage that you require. We have found it very popular for our customers to add a video clip of their CEO or Managing Director reading out their company safety message before the training begins. 5. We would like to add links to our own Intranet or Internet is this possible?
   
Yes, simply provide us with the link text and link address when sending back your customisation changes and we can incorporate these for you.  
   
   
6. How do we change the self test and risk rating questions?
   

There is built-in ‘self test editor’ and ‘checklist editor’ within the software so that you can change the information at any time. For the self test editor, you can edit or delete the questions that are currently in the database. You may want to change some of the answers for the questions to make them harder or easier depending on your pass rates and company policy. You can also add as many new questions as you like to the software but it is advisable that the questions that you add relate to the information that the users have read through in the training content.

Each module asks the user 15 random questions from a ‘pool’ of questions so no user will get the same set of questions in the same order if they retrain again.

For the ‘Risk Rating’ questions, you can use the Checklist editor to edit and delete the questions that are pre-set in the software. For these, you can also change the ‘Risk Rating scores’ for the individual answers given to the questions. For example, in Fire Safety, the question may be ‘Do you know where your nearest fire exit is?’. If you choose No to this question, this has been scored with a risk rating of 10 (the highest rating you can give it) but you may want to lower this rating.

Again, you can also add as many risk rating questions and answers as you require and for each answer you need to set your own ratings. The checklist asks the users questions about their own working patterns and working environment so that you can gather information about the individual and the safety that surrounds them.

If you require Safety Media to make any changes to either the Self Test or Checklist questions prior to going live with the software, please advise your Account Manager and we can provide you with a list of the questions and answers and you can the changes to your customisation form.

 
   
   
7. Can we customise the Administration menu or the log in screen?
   
Yes, Safety Media have a dedicated team of programmers who can fulfill any requests for customisation that you have. If you need any of the administration functions amending, deleting or customising for your own requirements, simply specify these on the customisation form and we will provide you with a very cost-effective quotation for the work. The Safety Learning software is an extremely flexible piece of software and Safety Media want to ensure that it is made to your exact requirements from the start.  
   
 
     
 
Multi-lingual content and International use  
   
   
1. Some of our staff do not have English as their first language, does the software cater for these?
   
The training modules can be translated in to which ever language you require. Please call us on 0845 345 1703 with your language requirements.  
   
   
2. We have multinational sites and users, can they all access the software?
   

Yes they can. If you choose the hosted option, you simply provide the users with the website link and details of how to log in. For Intranet versions, if all of your sites across the world have access to the same company Intranet then all users can train using the software. If the sites do not have access to the same Intranet and the hosted option is not a viable solution, we can provide you with separate installation disks for the different sites. These would then have separate databases for each site.

 
   
 
     
 
Training and Support  
   
   
1. What training is provided for the software?
   

Your account manager will be able to run through most of the functionality training for the administration function with you when presenting the software to you. For additional training, your Account Manager can come back on your company site or at an arrange venue to provide you and your other administrators if necessary with extra training. Please ask your account manager for training pricing or call 0845 345 1703.

For users to access the modules, training is not necessary as the software has been set up in a very user friendly way that logging in to the system is literally a few clicks away. It is advisable that when launching the software, if you are sending out internal emails or press releases, that you provide users with guidance on how to access the software. If you require any help with this, we will, of course, provide you assistance at no extra charge.

 
   
   
2. What technical support do we get?
   

With the maintenance costs that you pay with the software, Safety Media will provide you technical support Monday to Friday ( 9am to 5pm ). Emergency telephone numbers can be provided outside of these hours. With the support contract you will receive immediate assistance by telephone and email. Safety Media can provide you with a Service Level Agreement outlining all of the response times. You will also receive free updates to the software as an when new legislation comes into force and also when new functionality is added to the software.

If you have purchased the ‘training units’ option (see Delivery and Purchase Options), when Safety Media launch new training modules, you will be asked whether you would like these modules adding to your system free of charge and whether you need to purchase any additional units to use them. If you have purchased a ‘One Year’ or ‘Open Ended’ Licence for a number of users and modules, we can provide you with a quotation for adding the new modules to your system.

 
   
   
3. Is there a User Manual available?
   

Yes, the software has a built-in User Manual that needs to be opened in Adobe Acrobat (which is provided with the software).

2. How long will my order take?
   

Due to the high demand for our software, we are currently working to a 4-6 week delivery schedule. As soon as we receive confirmation of your order, we will add this to our project schedule and confirm the estimated delivery date.

 
   
   
3. What happens when my order is ready?
   

When your software is complete, for hosted options, you will receive an email with full details of how to access your site along with the link the web address. For Intranet versions, you will receive an installation CD Rom. If any assistance is required upon receipt of the CD Rom, please call our support line on 0871 222 1956.

 
   
 
     
 
Technical Considerations  
   
   
1. What Hardware do I need to run the Safety Learning software?
   

If you opt for a hosted site then Safety Media will host the software for you online on our own dedicated secure servers. You simply need to supply an internet connection to all of your users. It is recommended to use a broadband connection or faster but our software has been designed with minimal image sizes so an ISDN connection will still run at good speed but will have less capacity for the amount of users able to train at any one time. A modem connection is not recommended but this will run the software.

For Intranet versions of the software, you will require a Windows Server (NT, 2000, 2003) with Internet Information Services, PHP and either a MSSQL or mySQL database server.

For the Group Training Handsets, you will receive the number of handsets that you ordered along with the handsets ‘receiver’ and installation disk. You will need to install the handsets driver on to the computer(s) that you wish the group training software to be used on. For any assistance setting up the handsets or installing the drivers, please call 0871 222 1956.

 
   
   
2. What Software do I need to run the Safety Learning software?
   

For the hosted option, the users PCs will require access to the internet and must be running Internet Explorer version 5.5 or above.

For the Intranet version, the Server in which the software will be running from will require the following:

  • Operating System - The Server Operating System must be either Windows 2000 or Windows NT4. The software can also be installed on Windows XP Pro Edition for presentations and Classroom training.

  • Database - Safety Learning is compliant with mySQL (this is provided by Safety Media on the installation disk) and SQL Server 7 or above. Please note that if you require you can have t he web server and database server on different machines.

  • Web Server - The Web Server will require IIS version 4 or above.
 
3. How much memory and disk space will my server require to run the software?
   

We recommend at least 1GB of hard disk space for the system to allow for growth of the Database and for future modules.
